Purpose

To provide a fully integrated graphical student management system, as a centralized or distributed service. All modules are included in the service. Broome-Tioga BOCES staff will provide training and planning for the use of the ADM 2000 application. In the centralized service, BOCES staff will support and maintain the server, connections and software necessary to run ADM 2000.

Prerequisites

Hardware

  • Windows 95, Windows 98, or Windows 2000
  • Celeron or Pentium II or III 200Mhz Base, Recommend 350Mhz+
  • 32MB Memory Base, Recommend 64MB +
  • 2GB Hard Drive Base, Recommend 4GB (400MB Free)
  • CD-ROM, Floppy Drive, Color Monitor, Mouse, Keyboard
  • High Speed Network Card
  • Memory, hard drive space, processor speed will determine speed

  • Unidata Database
  • System Builder Server and System Builder Client licenses

Network

  • District connection to BOCES. (if centralized)
  • IP connection for ACE support.

BOCES Responsibilities:

Distributed Service

  1. On-site training and training in the Center Training Lab for all ADM 2000 modules.
  2. Planning for the conversion and implementation of ADM 2000.
  3. Provide available documentation and manuals.
  4. Phone support (8:00 a.m. to 4:18 p.m.) for the ADM 2000 application.
  5. Maintenance of strict confidentiality of district information.
  6. Maintenance of inventory of Special Forms for use with ADM 2000.
    • Course Request Scan Forms (two options)
    • Grade Input Scan Form
    • Attendance Scan Form
    • Report Card Form (8 ½ x 11 laser printed form is available in ADM 2000)
    • Official Transcript Form (8 ½ x 11 laser printed form is available in ADM 2000)
    • Schedule Form (8 ½ x 11 laser printed form is available in ADM 2000)
    • Permanent Record Label
  7. Identify specifications for purchasing of the necessary hardware/software to be utilized with this service.
  8. User group meetings at the Center throughout the service year to coordinate key activities.
  9. Sole liaison to the software vendor (ACE) for application support and problem solving.

Centralized Service
1 through 9 above plus:

  1. Creating user profiles on the system.
  2. Maintaining system security.
  3. Maintaining data integrity and back-ups of the Unidata database.
  4. Installation of software upgrades on the server.
  5. Access to ADM 2000 application databases.
  6. Scanning of student grades and course requests:
    • Printing student information on scan forms
    • Posting grades
    • Scanning
    • Inputting scanned data into ADM 2000
    • Printing error reports
    • Correcting format errors from scan sheets
    • Printing verification reports
    • Printing report cards/schedules
  7. Printing Reports.
  8. End of year rollover of files.

Additional Options

  1. Smart Query Report Development @ $52/hour
  2. Data Conversion by ACE @ $85/hour
District Responsibilities:
  1. Ensuring that all designated users of the system are familiar with Windows.
  2. Identifying the time and staff to receive training.
  3. Installing appropriate ADM 2000 client software and upgrades on district workstations.
  4. Designate a central contact person for all district correspondence/communications.
  5. All data input related to all modules, unless otherwise specified.
  6. Attending user meetings and training sessions.
  7. Notifying the Center of personnel changes in order to schedule training sessions with new personnel.
  8. Notifying the Center in writing of security authorization changes.
  9. Installing software and upgrades on the server. (distributed option)
  10. Access to ADM 2000 application databases. (distributed option)
  11. Maintenance of integrity and completeness (including daily backups) of the ADM2000 database (distributed option).

All stock paper reports that are available with this application can be submitted by district staff and directed to print at the district or at The Center.
